This article shows how to deal with day-end warnings and statement distribution within GhostPractice
Understanding statement distribution warnings is crucial for maintaining the reliability of your GhostPractice legal practice management system.
If you have encountered a day-end warning about statement distribution failure, this article will guide you through the checks and solutions, ensuring efficient handling of client statements and optimal system performance.
Identifying Distribution Failures
When a statement distribution fails, verify whether the issue is related to printing or emailing client statements.
The system will retry distribution automatically during the next day-end process. Pinpointing the cause early helps maintain trust and compliance for your law firm's document automation and distribution processes.
Reviewing Statement Generation
- Access the Reports Module to view reports.
- Switch the filter from ‘Adhoc’ to ‘Stored Reports.’
- Select ‘Statement’ to review all client statement records.
- If the statements display and you can open them, Statement Generation was successful
System Health Checks
- Verify System Status and review the day-end tab for any unresolved warnings.
- Check the search and scheduler settings for pending tasks.
- Confirm that recent database backups succeeded without errors.
- Validate the statement tab for outstanding or failed distributions.
Managing and Troubleshooting Statements
- Unflag unwanted client statements in the statement distribution tab if no longer required.
- Refresh the system to update distribution statuses.
- Run the Period End Messages report for additional context on distribution warnings.
- Identify if the statements that failed to distribute were set to email or print.
- If email, then ensure the SMTP settings are correct and working
- If set to print, then ensure a printer is set up in the Practice setup and the user has sufficient access rights to the statement printer.
