This article describes the fields in the Reports module.
Overview
This module is for all reporting needs. There are three options: Adhoc, Stored, and Views.
- Adhoc Reports update as new information is captured to the system to reflect accurate, real-time data.
- Stored reports reflect the data and or figures at a certain point in time when a process is finalised. For example, when a batch is Posted, month-end or year-end is run, deposit slips are generated, and bank accounts reconciled and processed. These reports will never change, allowing users to generate the exact same report in future if required.
- Views are for custom reports. The firm can create customised reports with a range of fields and filters for their specific reporting requirements. Firms can also specify which users will have access to these views.
Click on the Help button from the main toolbar to get assistance.
Top Tips Filter text boxes below each column header are a quick way to search for a report either by name or description. Some Adhoc reports can be run By Date, allowing you to generate reports in a custom date range, or they can be run By Period allowing you to report only on transactions in a specific accounting period. A default filter to run these reports, either "By Date" or "By Period" can be set in the Practice Setup by the System Administrator. |
Reports - Overview
You can generate Crystal Reports, as well as Custom View reports in the main Ad Hoc Reports Screen.

| 1 | Select All | Use this option to select all the reports on the page, in the stored reports to either run or print the report. |
| 2 | Unselect All | Use this option to unselect all the reports on the page. |
| 3 | Run Report | Run report will run the report that is currently selected. |
| 4 | Print the selected report. | |
| 5 | Filter | Ad hoc reports – reports that can be run on demand. These reports change as information is added to the system.
Stored reports – system generated and stored reports. For example, month/ year end reports and posted batches. |
| 6 | Show advance filter | When Stored reports is selected in the filter option, the advanced filters will be available to filter by date, reference, narration, batch type, to name a few. The advanced filter type will change according to the report type selected. |
| 7 | Export | This option is available for stored reports to be exported directly to the desktop. |
| 8 | New View | This creates a new custom view report in the Views filter option. |
| 9 | Edit View | Click here to edit an existing view in the views filter option. |
| 10 | Delete view | Delete an existing view. |
| 11 | Archive | This option allows you to archive stored reports to an archive folder outside of the SQL database to reduce the size of the database. |
| 12 | Information | Click here to get more information on the report you have selected. |
| 13 | Favourites | You can right click and add a specific report as a Favourite, alternatively link all relevant favourite reports you regularly use. |
